Omit "Seattle" when it appears as the first part of the name of an agency or subagency. Authority for form of name: Clerk’s thesaurus. Enclose data added by cataloger in square brackets.

PHYS Physical description Text M Physical description as in AACR2. (Number of maps in item, color, size: h x w in cm., etc.)
SCAL Scale Integer M Enter denominator of scale ratio: for scale 1:20,000, enter 20000. Convert scale statements of the form 1”=1 mile to ratio form. For graphical scales, calculate the scale ratio.
SCOP Scope/theme information represented on map Text M Enter terms describing scope or theme of information represented on map. Enter terms from authority list1.
WBC West bounding coordinate Integer M Coordinate of westernmost extent of map coverage, expressed in Washington State Plane Coordinate System. (This field not in use 9/04)
EBC East bounding coordinate Integer M Coordinate of easternmost extent of map coverage, expressed in Washington State Plane Coordinate System. . (This field not in use 9/04
NBC North bounding coordinate Integer M Coordinate of northernmost extent of map coverage, expressed in Washington State Plane Coordinate System. . (This field not in use 9/04

YEAR Year of publication Text M Year the document was published or produced, entered following AACR2 rules.
DATE Date of base map Text M Date of base map or creation of original map, in the form YYYY/MM/DD. If the day or month are not given, enter "00." For example, a date given as "December, 1989" should be recorded as "1989/12/00." (BRS data are integers excluding slash.)
LDAT Date of last amendation or change to map Text O Date of last change or edit to map, in the form YYYY/MM/DD. If the day or month are not given, enter "00." For example, a date given as "December, 1989" should be recorded as "19891200." If no changes have been made to base map, omit an entry for LDAT (BRS data are is an 8-digit integer excluding slash.)
SUB Subject terms Text M Subject terms from the Clerk's Office thesaurus.
PNOT Physical notes Text M Material of map, including substrate (mylar, paper, linen, etc.), image type (pen-and-ink, blueline, VanDyke print, sepia, etc.), special features such as binding, mounting.
COND Condition Text O Condition of item
PW Part / Whole relationship Text O Part / Whole relationship of this item. Use to express relationship of items to which this object has a part/whole relation, whether or not item is physically stored with other items. Example:

LOC Location Text M Location of document, used for display and retrieval of this information. Enter one or more location codes from the following list.
  • A-NNNN-NN N/N : Archives, with the first 6 numbers representing the record series code and the last set (N/N) the box and folder number. Use this form of data for maps which stay with the body of the records to which they belong.
  • CF NNNNNN : Comptroller or Clerk file number.
  • F- : Flat file number/drawer number
  • M- : Map cabinet number. (rolled maps)
Example: in location F-2-1-3, 2 is flat file number, 1 is drawer number, 3 is folder number.
POL Polarity (N/P) Text M P if positive, N if negative
DATC Document creation date Integer M Date of original data entry into SEARCH, in form "YYYYMMDD." This data is automatically entered by the software at the time the record is created.
DATM Document modification date Integer M Date of most recent modification to SEARCH record in form "YYYYMMDD." If never modified, value will equal DATC.
USR User ID of creator/modifier Text M User ID of SEARCH record creator, entered automatically at time of record creation.
